Client Overview

Our Seattle-based client is dedicated to preserving and managing the city’s urban forests. As arboriculture experts, their services include tree planting, insect treatment, pruning and removal. With a strong focus on environmental care and community wellbeing, their mission is to ensure every tree in the urban landscape thrives.

The Challenge

Operating primarily in the field, the team faced significant challenges with scheduling, communication and data collection.

When appointments were booked, a work order was generated in Salesforce Service Cloud – but the team needed those appointments visible in a shared mobile calendar to coordinate field activities effectively.

Once a job was completed, arborists filled out an electronic form to capture job details. However, the form wasn’t pre-populated with existing customer or work order data, forcing field staff to re-enter information manually.

In the office, the scheduler had to toggle between Salesforce and a shared Google Calendar, while administrative staff spent time cutting and pasting data from forms into Salesforce. These inefficiencies led to wasted time, duplicated effort and missed opportunities to focus on customer service and growth.

The Solution

KeyNode team worked closely with the client to design an integrated workflow that simplified scheduling and data management:

  • Centralized Scheduling in Salesforce: Scheduling was moved entirely into Salesforce Service Cloud.
  • Zapier Integration with Google Calendar: Zapier was used to sync scheduled appointments directly with the shared Google Calendar, ensuring everyone in the company without access to Salesforce stayed aligned in real time.
  • Smart Form Pre-population: Custom Salesforce links were built to pre-populate Fast Field Forms, dramatically reducing manual data entry for field teams.
  • Automated Data Sync: KeyNode team configured a workflow within Fast Field Forms to extract data from the completed electronic forms and automatically update the Salesforce work orders – eliminating the need for manual office updates.

The Results

The new automated workflow delivered significant benefits across the business:

  • Reduced admin effort for field staff, freeing them to focus on their passion – caring for trees.
  • Improved efficiency for the office scheduler and support staff, allowing more time for high-value, revenue-generating work.
  • Seamless communication and data flow between the field and office, ensuring every job is tracked and completed accurately.
